Sharing Portfolio Plans and Setting a Plan of Record

Creating a Plan of Record

The Plan of Record represents the current approved portfolio strategy for a given scope. This plan reflects the planning assumptions and supply and demand model that stakeholders use as the official reference.

Before a plan can be designated as the Plan of Record, it must first have Org Access enabled.

Enable Org Access

  1. Open the portfolio plan.

  2. Click the three-dot menu next to Save.

  3. Select Plan Settings.

  4. Select Permissions from the left-side menu.

  5. Under General Access, choose Org Access.

  6. Click Update Settings.

Once Org Access is enabled, the plan becomes eligible to be set as the Plan of Record.

Set the Plan of Record

  1. Navigate to the Portfolio Models page.

  2. Locate the plan in the list.

  3. Click the three-dot menu next to the plan.

  4. Select Add as Plan of Record.

The plan will then be marked as the Plan of Record.

Teams can continue exploring alternative strategies using scenarios, while the Plan of Record represents the approved baseline.

Sharing Portfolio Plans

Portfolio plans can be shared with others in your organization to support collaborative planning and review.

Open the Share Dialog

To share a plan:

  1. Open the portfolio plan.

  2. Click the Share button in the top-right corner.

  3. The Share Plan dialog will appear.

Sharing Options

Restricted

When a plan is Restricted, only the creator of the plan can view it.

This is the default setting for newly created plans and is typically used while a plan is still being developed.

Organization (SSO)

When Organization (SSO) is selected, anyone within your organization who can access the platform through single sign-on (SSO) can open the plan.

This setting is typically used when sharing:

  • approved planning models

  • the Plan of Record

  • plans that need to be reviewed across teams

Anyone with the Link

If enabled, anyone with the link can open the plan.

This option may be used when sharing plans externally or with stakeholders who may not have direct platform access.

Important

If a plan is Restricted, other users in the organization will not be able to view it.

To make a plan visible to others, update the sharing setting to Organization (SSO).

Availability of Organization (SSO) sharing may depend on your user permissions or system configuration. In some organizations, only administrators or designated workspace managers can enable organization-wide access.

If you do not see this option, contact your system administrator.
